The Australian Health Practitioner Regulation Agency (AHPRA) works in partnership with 15 National Boards to implement the national regulatory scheme for health professionals. The purpose of health practitioner regulation is to protect the public by ensuring that only health practitioners who have the skills, qualifications and knowledge to provide safe care are registered.

The purpose of this role is to provide a high standard of administrative and support services to the related board’s and their policy and project team. You will work with the policy and project team to manage correspondence, upload board papers, support consultations and assist with events.

In this role you will:

  • Coordinate the preparations for meetings, events, working groups, teleconferences and videoconferences, including room bookings and set up prior to meeting, arranging catering, provision of materials or information for the meeting, attending meetings and tidying up after the event.
  • Prepare agendas and meeting papers for board or committee meetings in accordance with agreed service delivery standards and timeframes.
  • Processing attendance and expense claims for Board members and reconcile corporate cards for the Chair and Executive Officer.
  • Maintain electronic filing systems so that documents are stored appropriately in accordance with AHPRA records management policies and are able to be easily retrieved for future reference and audit purposes.
  • Coordinate the distribution of documentation to applicable parties within agreed and reported timeframes, using relevant technology and in the correct forma.
  • Effectively manage all relevant committee or board communications to internal and external stakeholders. Consult and liaise with program directors, managers, staff and board and committee members in relation to agenda items and papers.
  • Assist with the management of events including conferences and stakeholder forums.
  • Provide administrative support to the policy and project team.

As the ideal candidate, you will demonstrate the following:

  • Demonstrable experience in administrative support i.e. supporting boards, committees and sub committees.
  • Proficient with a range of Information Systems – particularly the Microsoft Offices Suite
  • Excellent time management skills with the ability to prioritise and complete a broad range of activities
  • Outstanding communication skills – both written and verbal with the ability to consult and liaise with program directors, managers, staff, and board with confidence.
  • A willingness to work in a close team that adheres to the values of AHPRA
