The Australian Health Practitioner Regulation Agency (Ahpra) works in partnership with 15 National Boards to implement the national regulatory scheme for health professionals. The purpose of health practitioner regulation is to protect the public by ensuring that only health practitioners who have the skills, qualifications and knowledge to provide safe care are registered.
We have an opportunity for an Administrative Support Officer to join our team in a 6 month fixed term role based in our Melbourne office.
The Administrative Support Officer plays an important role in supporting the successful delivery of the National Scheme Combined Meeting, which is a major event bringing together more than 350 participants from across the National Scheme and partner organisations.
Working within the Board Governance team, you will support the operational, logistical and administrative activities that underpin this significant national event. You will work closely with the National Program Manager, Board Governance and Senior Advisor, Board Governance to ensure a smooth and professional experience for delegates, speakers and stakeholders.
Coordinating communications, managing delegate registrations, supporting speakers and program logistics, you will maintain accurate records, liaise with venues and suppliers, and provide high‑quality onsite assistance during the conference to ensure the event runs seamlessly.
In this role you will
- Coordinate stakeholder communications, delegate registrations and database updates, ensuring information is accurate, timely and professionally delivered.
- Support event logistics including venue liaison, AV and catering coordination, and onsite assistance such as managing the registration desk and troubleshooting delegate queries.
- Prepare and manage essential documentation including agendas, running sheets, briefing schedules and speaker materials.
- Assist with speaker coordination, including collecting bios, managing presentations and supporting program delivery.
- Collaborate closely with a small team while also working independently to manage multiple tasks and deadlines.
- Use Cvent (preferred) and Microsoft Office at an intermediate to advanced level to support event and communications activities.
- Provide high‑quality administrative support to contribute to the smooth delivery of the Combined Meeting and the work of the Board Governance team.

As the ideal candidate, you will demonstrate the following:
- At least two years’ experience in event support or administration within a complex environment.
- Strong organisational and time management skills, with the ability to prioritise and deliver accurate work across multiple competing deadlines.
- A proactive, solution‑focused approach to problem‑solving, with sound judgement on when to escalate issues.
- Ability to work both autonomously and collaboratively, contributing to a positive team environment.
- Excellent interpersonal and communication skills, with confidence working with executives, senior managers and external stakeholders.
- Advanced capability with Microsoft Office, and ideally intermediate or advanced experience using Cvent.
- High attention to detail, strong stakeholder service orientation and a commitment to delivering high‑quality work.
